About the role

SHEEO is seeking an Administrative Coordinator to support our staff, members, and national convenings. Reporting to the Senior Vice President and Chief of Staff, this role is central to keeping the organization running smoothly day-to-day and to ensuring a high-quality experience for SHEEO members and partners. 

This position is ideal for someone who enjoys being at the center of operations – coordinating logistics, supporting colleagues, managing details, and serving as a reliable, professional point of contact for members. You will work across teams, interact regularly with senior leaders and external partners, and play a key role in creating a welcoming, well-organized workplace.

What you’ll do:

Support Staff and Organizational Operations:

  • Provide administrative support across the organization, including scheduling, light research, drafting and distributing agendas and correspondence, maintaining lists and databases, and coordinating projects.   
  • Ensure consistent administrative processes and communication for staff working across two physical office locations and fully remote team members.
  • Communicate clearly and professionally with staff, members, and external partners.
  • Anticipate needs and follow through on tasks with accuracy and attention to detail.
  • Oversee day-to-day office operations, including supplies, inventory, vendor relationships, and coordination with building management.
  • Help maintain an organized, functional physical workspace (light lifting may be required).
  • Assist with recruitment and onboarding logistics, including posting positions, managing applicant communications, scheduling interviews, and coordinating onboarding activities.

Meetings, Events, and Member Engagement:

  • Serve as a front-line support resource for SHEEO members, helping ensure timely responses, smooth logistics, and a positive experience in interactions with the organization.
  • Support planning and logistics for meetings and convenings, including registration processes; attendee and speaker communications; and materials preparation.
  • Provide on-site logistical and administrative support for SHEEO’s annual Higher Education Policy Conference.
  • Support the scheduling, planning, and logistics of site visits to SHEEO member agencies, including coordinating calendars, agendas, materials, and follow-up communications.
  • Support engagement with SHEEO members and the executive committee, maintaining a member-centered approach.

What we’re looking for:

We are looking for someone who brings a mix of organization, professionalism, and initiative with a strong member-service mindset. Ideal candidates will have many of the following:

  • Three or more years of experience in an administrative, operations, or coordination role.
  • Experience in a nonprofit, association, higher education, or public sector environment is a plus.
  • Strong organizational skills and the ability to manage multiple priorities at once.
  • A service-oriented approach and comfort interacting with senior leaders, members, and external partners.
  • Proficiency with Microsoft Office Suite and virtual meeting platforms (Zoom, Microsoft Teams).
  • Comfort learning and using web-based tools (event registration platforms such as Mailchimp and Cvent a plus).
  • Interest in supporting a mission-driven organization focused on strengthening public postsecondary education.

Location and Travel:

This position is based in Washington, D.C., and is eligible for a hybrid remote/in-office work schedule. Occasional national travel is required to support meetings and events.

Salary and benefits:

  • Salary range: $55,000 to $65,000, commensurate with experience.
